Privacy Policy

We're committed to protecting your personal information and being transparent about how we handle it.

Effective Date: October 27, 2025

Hey there! Thanks for checking out our privacy policy. Look, we get it - nobody really enjoys reading these things, but we've tried to keep it straightforward and honest.

At Quantarion Realms Fitness, we take your privacy seriously. When you're pushing your limits in our facility or working with our coaches, the last thing you wanna worry about is what's happening with your personal data. This policy explains what info we collect, why we need it, and how we keep it safe.

By using our services, visiting our facility, or interacting with our website, you're agreeing to the practices described here. If something doesn't sit right with you, let's talk about it.

Personal Details You Give Us:

  • Name, email, phone number when you sign up or reach out
  • Address and billing info for membership payments
  • Emergency contact details (pretty important when you're lifting heavy!)
  • Health history and fitness goals during your initial assessment
  • Dietary preferences if you're working with our nutrition coaches

Stuff We Track Automatically:

  • Facility check-ins and class attendance (helps us plan better)
  • Your workout progress and performance metrics
  • Website usage data like IP address, browser type, pages visited
  • Cookie data to remember your preferences

Optional Info:

  • Photos or videos if you participate in our transformation programs or marketing
  • Feedback and reviews you share with us
  • Social media handles if you tag us or interact with our content

We're not collecting data just for fun. Here's what we actually do with it:

Running Our Business:

  • Managing your membership and processing payments
  • Scheduling your training sessions and classes
  • Creating personalized workout and nutrition plans
  • Tracking your progress so we can celebrate wins and adjust plans

Keeping You in the Loop:

  • Sending class schedules, facility updates, or important announcements
  • Sharing training tips and content that might help your journey
  • Letting you know about new programs or special offers (you can opt out anytime)

Making Things Better:

  • Analyzing trends to improve our programs and services
  • Getting feedback on what's working and what needs work
  • Ensuring our website runs smoothly and stays secure

Legal Stuff:

  • Meeting our legal obligations under Canadian law
  • Protecting against fraud or misuse of our services
  • Responding to legal requests if required

We're not in the business of selling your data. Period. But we do work with some trusted partners:

Service Providers:

  • Payment processors to handle your membership fees securely
  • Email and communication platforms for newsletters and updates
  • Cloud storage providers where we keep your training records safe
  • Website hosting and analytics services

Professional Partners:

  • Healthcare providers if you've given us permission and it's relevant to your training
  • Insurance companies if needed for liability coverage

Legal Requirements:

  • Law enforcement or government agencies if legally required
  • Court orders or legal proceedings where we have no choice

All our partners sign agreements to protect your data and use it only for the purposes we specify. We vet them carefully.

Our website uses cookies - not the protein-packed kind you eat post-workout, but small data files that help the site work better.

What We Use:

  • Essential Cookies: Make the site actually function (login, navigation, etc.)
  • Performance Cookies: Help us see what's popular and what needs fixing
  • Functionality Cookies: Remember your preferences and settings
  • Marketing Cookies: Show you relevant content and track ad effectiveness

You can manage or disable cookies through your browser settings, but heads up - some parts of the site might not work as smoothly. Most browsers let you control this stuff pretty easily.

We also use Google Analytics and similar tools to understand how people use our site. This helps us make it better for everyone.

We take security as seriously as proper squat form. Your data is protected through:

  • Encrypted connections (SSL) whenever you're on our website
  • Secure payment processing that never stores your full credit card info
  • Password-protected systems with restricted staff access
  • Regular security audits and updates
  • Physical security measures at our facility for paper records
  • Backup systems to prevent data loss

That said, no system is 100% bulletproof. We do everything reasonably possible to protect your info, but we can't guarantee absolute security. If we ever experience a data breach, we'll notify you and the appropriate authorities as required by Canadian law.

What You Can Do:

  • Use a strong, unique password for your account
  • Don't share your login credentials
  • Log out when using shared computers
  • Let us know immediately if you suspect unauthorized access

Under Canadian privacy laws (PIPEDA), you've got rights. Here's what you can do:

Access Your Data: Ask to see what personal information we have about you. We'll provide it within a reasonable timeframe.

Correct Inaccuracies: If something's wrong in your records, let us know and we'll fix it. Accurate data helps us serve you better anyway.

Request Deletion: Want us to delete your info? We'll do it unless we're legally required to keep certain records (like financial transactions for tax purposes).

Opt Out of Marketing: Don't wanna receive promotional emails? No hard feelings - just click unsubscribe or let us know.

Withdraw Consent: If you've agreed to something specific (like using your photo), you can change your mind. Just understand it might affect certain services.

Data Portability: Request a copy of your data in a commonly used format if you need it for another service.

File a Complaint: If you think we've mishandled your data, contact us first. If you're not satisfied, you can file a complaint with the Office of the Privacy Commissioner of Canada.

To exercise any of these rights, shoot us an email at info@quantarionrealms.info or call us at (604) 782-5491. We'll respond within 30 days.

We don't keep your data forever. Here's our general approach:

Active Members: We keep your info for as long as you're a member plus a reasonable period after (usually 1-2 years) in case you return or for legal/financial record-keeping.

Financial Records: Tax laws require us to keep transaction records for 7 years. It's not us being nosy, it's the Canada Revenue Agency's requirement.

Health & Safety Info: Medical waivers and injury reports are kept for 7 years for liability protection.

Marketing Lists: If you've opted in to our newsletters but aren't a member, we'll keep your email until you unsubscribe or after 3 years of inactivity.

Website Analytics: Aggregated, anonymous data may be kept indefinitely since it can't identify you personally.

When data's no longer needed, we securely delete or anonymize it. Paper records get shredded, digital files get permanently deleted.

Our services are primarily designed for adults. If you're under 18, we need a parent or guardian's consent before you can sign up or participate in our programs.

For youth members (ages 14-17), we collect the same basic info but require parental involvement in the signup process. Parents have the right to review and request deletion of their child's information at any time.

We don't knowingly collect personal information from anyone under 14 without verified parental consent. If we discover we've accidentally collected such info, we'll delete it immediately.

Parents, if you have questions about your teen's membership or data, reach out to us directly. We're happy to discuss what info we have and why.

Privacy laws and our business evolve over time, so we might need to update this policy occasionally. When we do, we'll:

  • Update the "Last Updated" date at the top
  • Post the new version on our website
  • Notify active members by email if there are significant changes
  • Give you a chance to review and accept major changes before they take effect

We recommend checking this page every now and then, especially if you're concerned about privacy. Continuing to use our services after changes are posted means you're cool with the updated policy.

If changes require new consent under Canadian law, we'll get that from you before applying the new terms to your data.

If you've got questions, concerns, or wanna exercise any of your privacy rights, we're here to help. Seriously, don't hesitate to reach out.
